Executive Assistant/ Legal Secretary to CEO

Classification: Exempt, Professional
Reports to: Chief Executive Officer

JOB DESCRIPTION:
Essential Duties and Responsibilities:

  • Provide exceptional, detail-oriented administrative support to the CEO to ensure accurate communications with third parties.

  • Serve as key organizer for CEO events and meetings, to include management meetings, client and consultative meetings, and the CEO’s Board commitments.

  • Prepare PowerPoint presentations, agendas, and minutes for key meetings.

  • Coordinate / integrate personal activities and travel with CEO’s business calendar, requiring coordination with both internal and external executives and assistants.
  • Manage the CEO’s communications, to include assessing inquiries directed to the CEO, determining proper course of action, and drafting replies.

  • Schedule domestic and international travel, with attention to detail in bookings, pick-ups, and attendant meetings.
  • Attention to extensive filing system for hard-copy of business and personal content.
  • Will be required to perform other duties as requested, directed or assigned.


Required Experience & Education:

  • Bachelor’s degree from an accredited college or university. English or a Business degree a plus
  • At least five years of executive assistant or chief of staff experience. Experience handling a wide range of administrative and executive support tasks and projects, and communicating with varying personalities and stakeholders.


Preferred Qualifications:

  • Legal support experience.
  • Dictation and Fusion experience.


Required Knowledge, Skills, and Abilities:

  • Extraordinary organizational skills, and appreciation for the challenges of supporting a CEO in a dynamic business environment.
  • Ability to work with staff at all levels, sometimes under pressure, while remaining proactive, resourceful, and efficient, with a high level of professionalism, discretion and confidentiality.
  • Excellent written and oral communication skills. Ability to compose and critique proper business communications and other materials.
  • Proven ability to take initiative, be resourceful and creative in problem-solving, and very diplomatic in personal and phone communication.
  • Proven ability and willingness to take direction, with exceptional follow-up skills to ensure timely completion of projects.
  • Ability to manage details, anticipates needs, and maintains high standards of conduct.
  • Proficiency in note taking to ensure the capture of key ideas and action items.
  • Proficiency in Microsoft Office environment: Word, Excel, PowerPoint, and Outlook. Adobe InDesign and Visio chart experience a plus.
  • Ability to manage and prioritize multiple tasks and work independently, as well as part of a team, collaborating with staff members as necessary.
  • Self-confidence, assertiveness, flexibility, and ability to maintain composure and professionalism under stress, regardless of competing priorities.
